01: PHYSICAL FITNESS: If planning to trek in Nepal, tourists should be in moderate physical fitness. For those on long treks and in higher altitudes, we recommend a physical examination of fitness.
02: TRAVEL INSURANCE: Foreign tourists who are trekking in Nepal are asked to get a comprehensive insurance coverage with medical, natural calamity and helicopter evacuation. Hence, to avoid paying heavy out of pocket fees for medical treatments, it is important to get insurance coverage. All expenses for emergency evacuation must be paid in cash in Nepal unless it is done through an insurance company.
03: TOUR AMENDMENT: In order to make alterations of your trek/tour itinerary, we request to be pre-informed and to stay in touch with us regularly. However occasionally, due to immediate circumstances such as natural calamities, you may have to take alternative measures.
04: YOU’RE PERSONAL BELONGINGS: Your personal possessions including your luggage are your own responsibility at all times, hence we are not liable for the loss or damage of your property even when borne by porters, ponies or vehicles.
05: PAPERS AND DOCUMENTS: It is your duty to make sure all necessary documents are presented as required for the issuance of visa, trekking permits, and etc. We will not be accountable trip delays due to formality of the trips being incomplete, ie. lack of required papers.
06: SUPPLEMENT CHARGE:. Our trekking and tour packages come with rooms or tents with twin sharing basis. Single room supplement charge will be imposed to the client who did have a roommate to share room with.
07: PAYMENT: You are required to pay your balance at the specified time, if you do not we reserve the right to cancel your booking, unless arranged with us prior in writing. Your reservation will be confirmed on receipt of your deposit which is usually a certain percentage of the price of the tour package. The remainder of your payment will be invoiced to be paid before the departure of the tour.
08: DOWN PAYMENT: An advance of 10% down payment is required to secure a place in the package.
09: HOW TO PAY YOUR DEPOSIT: All of these are accepted: Traveler’s Cheque / Wire Transfer / Visa or Master Card / Western Union / Cash, US Dollar, Euro,Pound,Japanese Yen, Hong Kong Dollar, Australian Dollar,Singapore Dollar,Korean Won.
10: PAYMENT BY CREDIT CARDS: Our prefered credit cards are Visa and Master cards which are also widely accepted in Nepal. The others like American Express, and JCB are accepted but are not as convenient, hence please check with us before paying.
Note: When paying by credit cards from your home address remotely, please scan and mail us the following: a signed authorization form with your card number, expiry date, CVV2 code, passport copy, payment amount and photocopies of both sides of your credit card. You will be have to pay the bank charges (3.75% in Nepal) while making payments through credit card by yourself.
11: CANCEL THE BOOKING: Upon cancellation of your booking, deposit will be non-refundable. If you inform us of your cancellation prior to your final payment due date.
12: REFUND CHARGE: The following charges are applied if you cancel your booking of full payment and in less than 10 weeks before departure. This is based from the day when we receive written notification, and calculated as a percentage of the total tour price.
> If you cancel the trip 6 weeks before departure 0%
> If you cancel the trip one month before departure 25%
> If you cancel the trip 3 weeks before departure 35%
> If you cancel the trip two weeks before departure 45%
> If you cancel the trip one week before departure 60%
> If you cancel the trip three days before departure 75%
> If you cancel the trip on same before departure 90%
13: ACCOMMODATION: We will make sure to arrange your hotel room according to your preferences however.
14: TOUR LEADER/GUIDE: We are obliged to our tour leader or local ground operator who represents Flight Tracker Travels, and who will have overriding authority to our tours. If you do not abide by our code of conduct during our tour, or if in the opinion of our tour leader or operator you are posing a harm to the safety of the whole group, you will be asked to leave the tour without any right for refunds. By signing our reservation/booking form, you agree to this.
